Boise State University released updated Data Use Guidelines on Mar. 24 to help the campus community understand how university data can be used with generative artificial intelligence tools. The new guidelines build on Policy 8060 and are intended to provide practical direction for faculty, staff, and students working with university data in emerging technologies.

The release of these guidelines is important as the use of AI tools becomes more common in academic settings. Clear guidance helps ensure that sensitive or confidential information is handled properly when using advanced technology.

A significant addition to the update is a set of tables that outline which types of university data can be used with different applications. These tables give users clearer instructions on what is considered appropriate use. Specifically, Table 2 and Table 3 identify restricted and confidential data types that may be used within BoiseState.AI and Google Generative AI Applications offered through the university’s Google Workspace.

Because artificial intelligence tools and their security features are evolving rapidly, Boise State said it will continue updating the Data Use Guidelines as new technologies emerge or practices change. For those who have questions about the guidelines or notice any conflicts between them and other university policies or website information, Boise State advises contacting the Chief Information Security Officer at ciso@boisestate.edu for review and clarification.

The ongoing updates reflect an effort by Boise State to adapt its policies as technology advances, aiming to support responsible innovation while protecting institutional data.
